Jomate Foundry, a product owned and distributed by Aegis EHS Pty Ltd (Trading As Jomate Systems) ("Jomate Foundry", "we", "us", "our"), is committed to protecting your privacy and handling personal information responsibly.
This Privacy Policy explains how we collect, use, store, and disclose personal information when you use the Jomate Foundry software platform, applications, and related services ("Jomate Foundry Services").
We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

- Individual users ("Personal Licence" users)
- Business customers and their authorised users ("Business Licence" users)
It does not apply to Enterprise customers, who are governed by separate contractual terms.

We may collect:

- Business or employer details
- User account credentials
- Billing and subscription information
3.2 Operational & Field Data
Depending on how you use Jomate Foundry, this may include:
- Job notes, reports, and forms
- Photos, videos, and voice recordings
- AI-generated outputs and summaries
- Time, location, and device metadata
- Uploaded documents and templates
3.3 Foundry Scoping & Review Data
When you engage a Jomate Foundry service (such as the Production Readiness Audit or Software Factory), we may collect:
- Application scoping survey questions and responses
- Source code, repositories, and code shared for review
- Code review findings, comments, and recommendations
- Architecture diagrams, design documents, and technical specifications
- Testing criteria, test plans, and quality assurance artefacts
- Integration, deployment, and environment configuration details
3.4 Technical Data
We may collect:
- IP address
- Device and browser information
- Usage logs and performance metrics
- Error reports and diagnostics
4. How We Use Information
We use collected information to:
- Provide and operate the Jomate Foundry Services
- Generate AI-assisted outputs at your request
- Maintain records and job documentation
- Improve product performance and reliability
- Provide customer support
- Meet legal and regulatory obligations
- Prevent fraud, misuse, or unauthorised access
We do not sell personal information.
5. AI Processing & Data Use
5.1 AI Functionality
Jomate Foundry uses AI models to process user-submitted content for purposes such as:
- Note summarisation
- Image and object analysis
- Fault explanation and pattern recognition
- Report generation
5.2 Training & Improvement
Unless explicitly agreed otherwise:
- Customer data is not used to train public AI models
- Aggregated, anonymised insights may be used to improve system performance and reliability
- Personal and Business user data remains logically segregated
6. Business vs Personal Data Responsibilities
Personal Licence Users
- Data is treated as individual user content
- Outputs are non-commercial by default
- Certain features may be watermarked or restricted
Business Licence Users
- The Business Customer controls access, permissions, and data ownership
- Jomate Foundry acts as a service provider, not the data owner
- Business customers are responsible for lawful collection of third-party information (e.g. customer site photos)
Source Code & Intellectual Property
Any application source code, repositories, or related materials shared with Jomate Foundry — including through the Software Factory service — remain the property of the Customer. Jomate Foundry acts only as a service provider and does not acquire ownership of Customer source code or intellectual property.
7. Data Storage & Security
- Data is stored using reputable cloud infrastructure providers
- Reasonable technical and organisational safeguards are in place
- Access is restricted based on role and licence tier
- No system is 100% secure, but we take reasonable steps to protect information from misuse, loss, or unauthorised access
8. Data Location
Unless otherwise stated:
- Data is primarily stored in Australia or comparable jurisdictions
- Some processing may occur overseas where required for service delivery
- We take reasonable steps to ensure overseas recipients comply with Australian privacy standards
9. Disclosure of Information
We may disclose information to:
- Cloud infrastructure and service providers
- Payment processors
- Professional advisers (legal, accounting)
- Regulators or law enforcement where required by law
We do not disclose information for marketing by third parties.
10. Access & Correction
You may request access to, or correction of, personal information we hold about you by contacting us.
11. Retention & Deletion
- Data is retained while your account is active
- Upon account closure, data may be deleted or anonymised, subject to legal obligations
- Backup retention may apply for a limited period
